This page details changes and enhancements which have been made to the Infocare system for the current version of the software.

Changes & Enhancements

1. Children - National Student Numbers (NSN)

There is a new "Search For NSN" Button on the Child Selection screen.  This is a new requirement from the Ministry of Education. For all your currently enrolled children, you will be need to acquire a national student number by clicking this button. You will also need to continue this process for each new child as soon as the child becomes a "Current Enrolment". If you require further clarification, please click the help button on the child selection screen.

The Ministry of Education have issued a "National Student Number User Instructions for Infocare Early Childhood Education Services Users" document which can be viewed by clicking on the link or you can download a copy from our web site www.info-care.biz/downloads.html

2. Children - Add/Modify

There is now more space in the name fields to cater for very long names.

The details in the lists for Country, Language, Ethnicity and Iwi have changed to conform to changes in Ministry of Education requirements.

4. Children - Timetable - Print

In order to comply with Ministry of Education requirements/changes, the change of enrollment and attestation form has been amended slightly to include some text asking the parents to sign and confirm whether the child is receiving 20 Hours ECE at another service.

5. Billing - Batch Receipts

Additional bank files have been added to the Batch Receipts file upload facility. These are:-

ASB FastNet
BNZ Personal Banking

6. Reports - Finance Reports - Transaction Listing By Type

Under the Print Options users are now able to select an additional field of "Cost Centre. This is the Accounts Cost Centre from the Centre Update Screen.   

7. Children - Parent Portal

All photographs, learning stories and other content associated with a child's portal will be deleted from the system 6 months after the child leaves the centre.

8. Reports - Child Reports - Frequent Absence Report

The 3 frequent absence rules are no longer applied to children who have special needs.

9. Reports - Group Reports -Teacher Hours Summary Report

This report has been removed from the list of options temporarily to correct some reported issues.

The 6 hour cap from rule 3 in this report has been removed for the following reason :-

"Frequent Absence Rule clarification

We have recently received queries about how to apply the Frequent Absence Rule when a child attends fewer hours per day than they are enrolled to attend, on a daily basis, on more than half of their enrolled days in a calendar month. We thought it timely to provide the following advice. This is not a change in policy.

Best practice when applying the Frequent Absence Rule in situation 3 (Chapter 6-7 of the ECE Funding Handbook)

Although the Ministry only funds up to six hours per child-place per day, and up to 30 hours per child place per week, it is considered best practice to apply the Frequent Absence Rule irrespective of how many hours a child is enrolled for.

If a child is frequently absent for two months in a row, a service should be talking with parents/caregivers about their enrolment needs regardless of the funding cap and making any necessary amendments.

Impact on funding

While we expect services to reconfirm the enrolment agreement in the third month, and change the enrolment agreement in the fourth month, services can still claim funding as long as the child is not absent during the six hours government is funding.

The Ministry does not re-claim funding for absences that occur outside the six hour cap, but does expect services to ensure a child’s attendance matches their enrolment as much as possible.
